Clients

The adviser's central rolodex of end clients and outstanding invites, and the launch point for starting estate-planning orders.

Clients are the people you manage: registered clients and outstanding invites in one list. From here you invite new clients, open a client's full record, and start an estate-planning order for them. The journey is Client → start order → fact-find → Orders.


Clients (list) - /users

  • Intent: The adviser's central rolodex of end clients. Shows every registered client plus every outstanding invite in one unified list, and is the launch point for inviting new clients.
  • Who can access it: Every adviser. Managers/admins (an "elevated" role at the active company) additionally get a visibility switcher and an "Assigned to" filter; plain advisers only ever see their own clients (those controls are hidden for them).
  • What you can do:
    • Search the list by name/email/phone (search box in the filter bar).
    • Invite a client via the "Invite client" button (top right) - opens a slide-in panel where you enter an email and/or phone number (at least one required), optional first/last name, pick a saved message template, preview the email and SMS with the recipient's details filled in, and send. A "Manage templates" button jumps to /settings/message-templates. On success the client appears as an INVITED row.
    • Click a registered client's row (or its "View profile" button) to open their detail page.
    • Per-row actions depend on status: INVITED rows get Resend and Revoke (revoke asks for confirmation); EXPIRED or REVOKED rows get Reactivate; REGISTERED rows show a direct "View profile" link.
    • Managers/admins: switch the list scope between Mine / My team / Everyone, and filter by the adviser a client is assigned to.
    • Paginate (10 per page by default).
  • What you see: A page header with title/subtitle and the Invite button; a filter bar (search, plus the scope toggle and adviser filter for elevated roles); a table with columns Name, Email, Phone, Join method (e.g. shareable link / invite / added by adviser, with the link's label), Assigned adviser, and a colour-coded Status pill (REGISTERED, INVITED, EXPIRED, REVOKED).
  • States:
    • Empty: "no clients" message in the table body.
    • Loading: table skeleton/spinner while rows load.
    • The Invite button and its submit are disabled until your adviser-company context is known; the invite Send button is disabled unless at least one contact field is filled.
    • In the invite panel, the template picker shows a loading state, or "no templates" text, or the dropdown.
    • Invite errors (e.g. the email already belongs to a registered client) surface inline inside the panel.
  • Related pages / flow: Arrive from the main navigation. Go to a client at /users/[id]; manage templates at /settings/message-templates. New clients typically originate here (invite) or via /users/new.

Client detail - /users/[id]

  • Intent: The single view of one client - their contact details, order history, lead (triage) history, private notes, and adviser assignment. The jumping-off point to start a new estate-planning order for them.
  • Who can access it: Every adviser can view. The Reassign control on the adviser card is manager/admin only, and only for the assignment at the currently-active company.
  • What you can do:
    • Start estate planning order - primary button in the header; opens the full-screen order builder for this client (/users/[id]/orders/new).
    • Copy email and Copy phone (phone button only if a number is on file) to the clipboard, with a confirmation toast.
    • Open any of the client's orders - each order card links to that order's workspace at /orders/[orderId].
    • Open any of the client's past leads - each lead card links to /leads/[leadId].
    • Read and post notes on the client (notes are scoped to the client-at-this-firm assignment).
    • View the assigned adviser per company; click "View adviser" to open that adviser's profile (/advisors/[advisorId]).
    • Reassign the client to another adviser at the active company (managers/admins) - a dialog lists eligible advisers on the company roster (excluding the current owner and any not-yet-accepted members); confirming moves the client and their orders, notes and people to the new adviser.
    • Go Back to users (/users).
  • What you see: A back link; a header with a "Client" badge, when they were added, their name and email, and the action buttons. A two-column layout - main column has the Orders card (count + newest-first list, each with company name, created date, status pill), the Previous leads card (active and archived triage submissions, each with date, star lead-score, and a status like New/Urgent/Converted/Archived), and a Notes section. The sidebar has a Contact card (first/other/last name, email, phone, address) and an Assigned adviser card (one panel per company assignment).
  • States:
    • Loading: spinner with "loading" text.
    • Error / not found: a "not found" message.
    • Orders and Leads cards each have their own loading skeletons, retryable error state, and empty state ("No orders yet" / "No leads yet").
    • Notes section is hidden entirely if the client has no company assignment to attach a thread to.
    • Adviser card shows "no companies" or "unassigned" text when applicable; Reassign is hidden for non-elevated users and shows "no other advisers" when the roster has no candidates.
  • Related pages / flow: Arrive from /users. Go to the order builder (/users/[id]/orders/new), an existing order (/orders/[id]), a lead (/leads/[id]), or an adviser (/advisors/[id]).

New client - /users/new

  • Intent: A minimal form to add a client to the rolodex quickly, capturing just their identity. No invite email is sent from here - it is a record-creation step, often the first step of starting an order.
  • Who can access it: Every adviser.
  • What you can do:
    • Enter First name, Last name, Email (all required) and an optional Phone number (must be a valid number with country code when supplied).
    • Submit to create the client. If the page was opened in "start an order" mode (?then=order), the button reads "Create user & start order" and lands you straight in the order builder for the new client; otherwise it reads "Create user" and lands you on the new client's detail page.
    • Go back - to /orders in order mode, otherwise to /users.
  • What you see: A back link, and a single card titled "Create a new user" with a short explanation (which changes wording in order mode), the name/email/phone fields, and a submit button pinned bottom-right.
  • States:
    • Submit is disabled until the form is valid; clicking while invalid toasts a prompt to fill in name and a valid email.
    • Submitting: button shows "Creating…".
    • Error: a red "Couldn't create the user" alert appears above the button.
  • Related pages / flow: Reached from the clients area / order-start flow. On success redirects to /users/[id] (normal) or /users/[id]/orders/new (order mode). Back link goes to /users or /orders.

Start new order for client - /users/[id]/orders/new

  • Intent: A full-screen, guided workflow to build an estate-planning order for a known client and send them their fact-find. Runs a four-step journey: choose products, set up the fact-find, price it, then review and send.
  • Who can access it: Every adviser (for their own clients). Two capabilities inside are role-policy gated: whether you may edit/customise the compiled fact-find ("Make edits") and how freely you may choose templates. Inline price and discount editing appears only if the company has price adjustment enabled, and any per-adviser maximum-discount cap is enforced.
  • What you can do:
    • Step 1 – Products: choose which products go into the order (seeded to a single client by default; you add a partner in the wizard if they have one).
    • Step 2 – Fact-find setup: pick the fact-find template(s) and choose how to proceed - send the fact-find, make edits first, or save the order without sending yet.
    • Step 3 – Pricing: review each line before the client sees it. Where price editing is enabled you can type a price per product, apply a discount per product, choose a preset price option, or use one-tap quick discounts (5/10/15/20/25%) across all lines; a summary shows totals (with VAT if applicable). You can also just "Use catalogue prices." Confirming creates the order. Where editing is off, lines are read-only at catalogue price.
    • Step 4 – Review & send: review the assembled fact-find. If your selection produced overlaps/conflicts they're flagged (blocking items get a safe default automatically; informational ones are just noted). Then either Send now (compiles and emails the client the fact-find link straight away, after a confirmation dialog) or Make edits (opens the editor, if your role allows).
    • In the editor: tweak section labels, counts and scopes; work autosaves as you go; Preview the fact-find, Recompile from templates, or Send to client (with confirmation). At any point you can Save & finish later.
    • Back / exit: step back to the wizard from pricing (your placed products survive), or exit the wizard back to where you came from.
  • What you see: A continuous four-step progress bar (Products → Fact-find setup → Pricing → Review & send) above the active step. The pricing step shows a recipient card, the product/price list, and a totals summary. The review step shows the selected-templates card, conflict cards, and a draft summary. Transient full-screen messages appear during "Creating order…", "Compiling fact-find…" and "Sending fact-find…".
  • States:
    • Loading: "Loading…" while the client record resolves.
    • Error: "User not found" if the client can't be loaded.
    • Blocked: if the client isn't assigned to a company, a message tells you to assign them before starting an order.
    • Pricing: the Send button is disabled while any discount exceeds your cap (over-cap lines are highlighted with a warning); a "no products yet" note shows if the order is empty.
    • Review: shows a spinner while previewing, an error card if the preview can't be built, a green "everything fits together cleanly" note when there are no conflicts; the Send/Make-edits buttons are disabled while an action is running or no templates are selected. "Make edits" only appears if your role can edit.
    • If order creation fails, you're returned to the pricing screen with your products and pricing intact (plus an error toast).
  • Related pages / flow: Arrive from the client detail header ("Start estate planning order"), or from /users/new?then=order after creating a client. On completion you land on the order workspace (/orders/[id]) or, after sending, the fact-find sent confirmation (/orders/[id]/fact-find/sent). Saving for later also drops you on /orders/[id]. (The same builder also powers the lead-conversion path from /ff2.)
