Fact-Find Templates
Reusable role blueprints that seed the client fact-find: which roles, how many of each, and their scope.
Workflow group: Company config · Sidebar: Fact-Find Templates Who sees this: Every adviser can browse and preview; New / Edit / Copy / Delete depend on the active company's role policy plus each template's ownership and visibility.
Fact-find templates are reusable "role blueprints" that seed the client fact-find: which roles (executors, trustees, attorneys, beneficiaries, etc.), how many of each, and their scope. Personal templates are private to the adviser; company templates are shared firm-wide. They feed the compile step in the Fact-find & FF2 flow.
Fact-find templates - /fact-find-templates
- Intent: The library of reusable "role blueprints" that seed the client fact-find flow: which roles (executors, trustees, attorneys, beneficiaries, etc.), how many of each, and their scope. Personal templates are private to the adviser; company templates are shared firm-wide.
- Who can access it: Every adviser can browse, preview, and (subject to policy) copy templates. Whether the "New template", Edit, "Make a copy", and Delete actions appear depends on the active company's role policy plus ownership/visibility of each template (Admins and unset policies resolve permissive by default).
- What you can do:
- Browse templates grouped by category (Wills, Trusts, Lifetime trusts, LPAs, Other, then Uncategorised), each group showing a count.
- Preview any template in a dialog that renders the roles/sections a client would see.
- Create a new template via "New template" (when your role permits) - goes to the builder page.
- Edit a template you own/can edit - opens the edit page.
- "Make a copy" of any template (when you can author templates): opens a dialog to name it, add a description, pick a category, set a default product, toggle "Applies to one person at a time", and choose Personal vs. Company visibility (Company requires a Manager/Admin company to attach it to). Creates an independent copy.
- Delete a template you're allowed to delete, via a confirmation dialog ("This can't be undone").
- What you see: A page header with description and (conditionally) a "New template" button. Category sections of cards; each card shows the template name, a visibility badge, description, an "Applied to person" vs "Applied to order" badge, a "Default ·
" badge if set, the role count, the owning company name, and Preview / Edit / Make a copy / Delete buttons as permissions allow. Preview and copy open as dialogs. - States: Loading shows "Loading templates…". Empty shows "No templates yet - Create your first template to get started." Delete shows a loading state on the confirm button; success and failure both raise toasts.
- Related pages / flow: Go to
/fact-find-templates/new(New template) or/fact-find-templates/[id](Edit / after making a copy). Templates here seed the fact-find/role configuration used when building orders and inviting clients (the compile step at/orders/[id]/fact-find/compile).
New fact-find template - /fact-find-templates/new
- Intent: Build a brand-new fact-find template from scratch - choosing the roles the client form will collect and configuring each one's counts and scope.
- Who can access it: Only advisers whose active-company role policy allows authoring templates. Anyone else (e.g. a plain adviser without the permission) is bounced back to the library with an error toast, even via a direct link.
- What you can do:
- Set the template name and description (in the builder card).
- Toggle "Applies to one person at a time" - a single-person template that gets added once per testator when the product is placed for both; flipping it on forces every role to the single "Selected person" scope.
- Add roles/items via "Add another role or item" (role picker dialog). Each added role gets sensible default min/max counts and scope.
- For each role: adjust Min and Max counts with steppers, toggle an unbounded (∞) maximum, drag to reorder, and remove it.
- Expand a role (settings/gear) to set its scope (Primary only / Per spouse / For spouse, unless single-person mode), and for a "custom" role choose the underlying role and entity type and a custom label; add an optional public note shown to the client; and mark the section "Optional (client can skip entirely)".
- Preview the configured form in a dialog (disabled until at least one role exists).
- Save via "Save template": opens a dialog to confirm name, description, category, default product, per-testator toggle, and Personal/Company visibility. On success you're taken to the new template's edit page.
- Cancel to go back without saving.
- What you see: A page header ("New fact-find template") with Cancel / Preview / Save template buttons; the per-person toggle with explanatory text; a scope legend card; the name/description card; the draggable list of role rows; and the "Add another role or item" button.
- States: While the permission check resolves, a "Loading…" spinner shows. Preview is disabled with no roles. "Save template" is disabled until there is at least one role and a name. Save failures raise an error toast.
- Related pages / flow: Arrive from
/fact-find-templates("New template"). On save, navigates to/fact-find-templates/[id]. Cancel returns to the previous page.
Edit fact-find template - /fact-find-templates/[id]
- Intent: View or edit an existing fact-find template's roles, counts, and scopes, set its default product, or fork it into a new copy.
- Who can access it: Any adviser can open and view a template. Full editing is available only to those who own/can edit it under the role policy. Advisers who can author templates but can't edit this specific one can still "Make a copy"; advisers who can't author templates at all get view-only.
- What you can do (when editable):
- Change the "Default for product" dropdown - the product that auto-selects this template during order creation (or None); clearing it sticks.
- Toggle "Applies to one person at a time" (same single-person behaviour and scope-forcing as the new-template page).
- Use the full role builder: add roles, reorder by drag, adjust Min/Max and unbounded max, edit each role's scope, custom role/entity type/label, public note, and optional-section flag, and remove roles. Edit the template name and description in the builder card.
- Save with "Save changes" (shows "Saving…"); a success toast confirms and the library and this template's cached view refresh.
- Preview the current configuration in a dialog (disabled with no roles).
- "Make a copy" (if you can author templates): opens the save dialog to create an independent new template (Personal/Company, category, default product, per-testator); on success navigates to the new copy.
- "Back" returns to the template library.
- What you can do (view-only / copy-only): Preview and Back always available; editable fields are disabled. If you can author but not edit this one, only "Make a copy" is offered and the header explains changes will save as a new copy leaving the original untouched.
- What you see: A page header showing the template's name plus a description line whose wording adapts to your permission (edit / copy-only / view-only), with Back / Preview / (Make a copy) / (Save changes) buttons; the Default-for-product select and per-person toggle row; and the role builder.
- States: Loading shows "Loading template…" with a spinner. Preview and "Make a copy" are disabled when there are no roles. In view-only mode the product select, per-person toggle, and builder fields are disabled. Save and copy failures raise error toasts.
