Compiling, editing and sending a client's fact-find, plus the FF2 builder that promotes a triage lead into an order.

The fact-find is the questionnaire the client completes so the will and Letter of Wishes can be generated. "FF2" is the full-screen builder that promotes a triage lead into an order and sets up its fact-find in one go. This guide covers compiling a fact-find from templates, editing which sections the client sees, sending it, and the FF2 lead-conversion journey. FF2 - new order / lead conversion - /ff2

  • Intent: The full-screen, sidebar-free builder for promoting a triage lead into a live order and setting up its fact-find in one continuous journey: build the quote, choose the fact-find sections, price it, then review and send. Creating the order here links it back to the originating triage. (It shares the exact same multi-stage flow as /users/[id]/orders/new.)
  • Who can access it: Any adviser. It reads the triage and target company from the link that brought you here. If that triage has already been promoted to an order, it shows a short message with a link to open the existing order instead of letting you re-promote.
  • What you can do (across four steps shown in a continuous progress bar - Products → Fact-find setup → Pricing → Review & send):
    • Products (quote builder): switch between quoting for 1 person or 2 people (adds/removes a partner column and an editable partner name); add products from a catalogue-scoped panel (Wills, LPAs, Land Registry / Severance of Joint Tenancy); switch the catalogue/legal system (e.g. England & Wales vs Northern Ireland), which locks once a will is placed so you can't mix jurisdictions; pick which testator a single will or LPA is for (mirror wills and severance are placed jointly for both); open Configure trusts & additions on any will to fill its trust slots (first-death / second-death / residue single-choice slots, repeatable carve-outs) and add BPR/APR/DPT additions, scoping additions per testator on a mirror will; choose a price option per product; see a live total quote value; remove products (removing a will cascades to its trusts/additions).
    • Fact-find setup (template picker): templates matching the chosen products are pre-selected ("Recommended"/"Per person" badges); toggle templates on/off (per-person templates can be added for each testator individually); then Use selected templates (compile), Build from scratch (start an empty fact-find to fill by hand), or Skip for now (create the order and set up/send the fact-find later).
    • Pricing (only if your company allows price adjustment): set the price each product charges the client (type a price or apply a discount), use quick-discount buttons, pick admin-defined price options, see VAT and totals; discounts over your cap are blocked with a warning; or Use catalogue prices. If price adjustment is off, lines are read-only at catalogue price.
    • Review & send (compile review): see the merged fact-find preview with any conflicts flagged as "things to check" (blocking, auto-resolved safely) or "notes" (informational), the list of selected templates with an option to change them, then either Make edits (opens the full editor stage - the same builder, with autosave, Preview, Recompile, Send to client, and "Save & finish later") or Send now (compiles and sends in one go, confirmation dialog).
  • What you see: A single continuous four-step progress bar carried across every stage; the quote canvas with product sidebar/drawer, testator columns and a shared "Both spouses" block; the template grid; the pricing table; the review cards (selected templates, conflicts, draft summary); and interstitial progress screens ("Creating order…", "Compiling fact-find…", "Sending fact-find…").
  • States: "Loading…" while the triage resolves; the "already promoted" message with a link to the order; a toast if order creation fails (returning you to pricing with your products/pricing intact); a fallback message if the review preview can't be built; per-step buttons disable while work is in flight or when nothing is selected.
  • Related pages / flow: Arrive from a triage/lead being promoted (carrying triageId and userCompanyId, e.g. from Lead detail /leads/[id]). Exiting the wizard returns you to where you came from. Skipping or "Save & finish later" goes to /orders/[id] (the new order); sending goes to /orders/[id]/fact-find/sent; "Make edits" leads into the editor stage and "Recompile" to /orders/[id]/fact-find/compile.

Compile fact-find - /orders/[id]/fact-find/compile

  • Intent: Choose one or more fact-find templates to stitch together into this order's fact-find. It's a single step: pick templates, press Compile, and the system merges them (applying the stricter rule where sections overlap) and drops you into the editor.
  • Who can access it: Any adviser. The templates offered are limited to those your role is allowed to use and those relevant to the products on the order; the server re-checks this when you compile.
  • What you can do:
    • Browse available templates grouped by category (Wills, Trusts, Lifetime Trusts, LPAs, Other, then Uncategorised). Each card shows the template name, a visibility badge (Standard / Company / Personal), an optional description, and how many roles it contains.
    • Select or deselect templates by clicking their card (checkbox).
    • Compile & edit the selected templates (the button shows the count). If the order already has a fact-find, this becomes Replace & edit and first asks you to confirm replacing the existing one (with a warning that a client already sent the fact-find will lose access until you re-send).
    • Cancel to leave without compiling.
  • What you see: A heading ("Compile fact-find", or "Recompile fact-find" if one already exists) with explanatory text about merging overlapping roles, the Cancel and Compile buttons, and the grouped grid of selectable template cards.
  • States: "Loading templates…" spinner; an empty state ("No templates available") pointing you to create one in the Fact-find templates area; "Compiling…" while it runs; the Compile button is disabled until at least one template is picked; a replace-confirmation dialog when overwriting an existing config; errors surface as a toast.
  • Related pages / flow: Arrive from the order page's fact-find card ("Compile & send") or from the editor's Recompile button. On success goes to /orders/[id]/fact-find (the editor); Cancel returns to the editor (if a config exists) or /orders/[id].

Order fact-find (editor) - /orders/[id]/fact-find

  • Intent: The working editor for an order's fact-find once it has been compiled. Fine-tune which sections and roles your client is asked to complete, then send (or resend) the fact-find to them. This is the surface that ultimately shapes the data used to generate the will and Letter of Wishes.
  • Who can access it: Any adviser can navigate here, but the editor itself only opens for roles that are allowed to edit fact-finds/templates. Admins (and roles with the permission) get in; a role without it is shown "Editing the fact-find isn't enabled for your role" and bounced to the order page. If the order has no compiled fact-find yet, you're redirected to the Compile page.
  • What you can do:
    • Add a section with "Add another role or item" (opens a role picker): executors, trustees and their backups, guardians, beneficiaries, charities, LPA attorneys and replacements, LPA decision-making / when-to-act / life-sustaining / preferences / instructions / people-to-notify / certificate provider, properties and assets, funeral wishes, or a custom role.
    • Reorder any row by dragging its grip handle (keyboard-operable too).
    • Set the Min and Max number of entries per role with the steppers; toggle an unbounded (infinite) maximum with the infinity button. Static single-answer sections show a "Single answer" badge instead of counts.
    • Open a row's settings to change its Scope (Primary only / Per spouse / For spouse), add an optional public note shown to the client above that section, mark the section Optional (client can skip entirely), and for custom rows pick the role, entity type, and a custom label.
    • Remove any role.
    • Preview the fact-find exactly as the client will see it (full-screen interactive sandbox; nothing typed there is saved).
    • Save as template to reuse this configuration on future orders (name, description, visibility, category, etc.).
    • Recompile (draft only) to go back and re-pick templates.
    • Send to the client (confirmation dialog). Once sent, the buttons change to Resend (push the latest version), Cancel Send (client loses access until re-sent), and Cancel & Resend New (cancel, then start a fresh template pick).
    • All edits autosave as you type - no explicit save button.
  • What you see: A header with the "Fact-find" title, a Draft or "Sent · [time]" badge, and a live autosave indicator (Saving… / Unsaved changes / Saved · [time ago]); a scope-legend card explaining Primary / Per spouse / For spouse; the ordered list of role rows (each with icon, label, scope pill, count steppers, settings and remove buttons); and the dashed "Add another role or item" button.
  • States: Spinner while loading or while a redirect is being decided; auto-redirect to Compile if no config exists; bounce to the order page if your role can't edit; Preview and "Save as template" are disabled when there are no roles; Send/Resend is disabled with no roles or while a send is in flight; save errors surface as a toast.
  • Related pages / flow: Arrive from the order page's fact-find card (Edit), from the Compile page after compiling, or from the Sent page (Edit). Leads to /orders/[id]/fact-find/sent after sending, /orders/[id]/fact-find/compile on Recompile, and /orders/[id] (order detail) when bounced or done.

Fact-find sent - /orders/[id]/fact-find/sent

  • Intent: The confirmation landing page shown right after you send a fact-find. It confirms the client was alerted, sets expectations about follow-up, and offers quick next actions.
  • Who can access it: Any adviser. The Edit action only appears for roles allowed to edit the fact-find.
  • What you can do:
    • Edit - return to the editor to amend and resend (shown only if your role can edit).
    • Preview - see the fact-find exactly as the client sees it (interactive, non-saving).
    • Go to order - continue to the order detail page.
  • What you see: A centred success card with a green tick, "Fact-find sent" and the client's name, plus an info panel explaining you'll be notified when it's complete and that clients are auto-nudged if they don't start after a few days (no action needed from you).
  • States: Spinner while the order/config load; if there's no config (e.g. a stale deep link) you're bounced to the Compile page.
  • Related pages / flow: Arrive here after sending from the editor or from the FF2 review step. Leads to /orders/[id]/fact-find (Edit), or /orders/[id] (Go to order).
