Leads
The inbound-prospect queue where advisers review, claim, qualify and convert triage submissions into clients and orders.
Workflow group: Pipeline · Sidebar: Leads Who sees this section: Every adviser (list is scoped to your own team; Managers/Admins see wider visibility and assignment controls).
Leads are the top of the pipeline: inbound prospects that arrive from the public triage questionnaire or from an adviser-run onboarding call. You review, claim, qualify and convert them into a client and an order. The journey is Leads → (claim/qualify) → quote builder (FF2) → Orders.
Leads - /leads
- Intent: The adviser's inbound-prospect queue. Every triage submission (from the public questionnaire or an adviser-run onboarding) that hasn't yet been turned into an order lands here to be reviewed, claimed, qualified, and converted into a client/order.
- Who can access it: Any advisor. The list itself is scoped: ordinary advisers only ever see their own team's leads (the team/company switch is hidden for them). Managers and Admins at the active company additionally get the "My team / Everyone" visibility switch and the per-row Assign action.
- What you can do:
- Switch between the Active and Archived views (segmented toggle) - Active is the working queue; Archived holds dead/set-aside leads and resets the table's search/filters/paging when you switch.
- (Managers/Admins only) Switch lead visibility between My team and Everyone (whole company).
- Search leads by name or email (applied across the whole result set, not just the page).
- Filter by urgency reason (a specific flagged reason).
- (Managers/Admins only) Filter by "Claimed by" - pick an adviser who owns leads in the current view, or "Unclaimed"; only appears when relevant advisers/unclaimed leads exist.
- In the Archived view, filter by archive reason (Dead, Not interested, Unresponsive, Duplicate, Other).
- Open a lead - click a row, or use the "View" button, to go to the lead detail page.
- Onboard a new user - top-right button opens the adviser-run triage flow (
/leads/onboard). - (Active view) Archive a lead via the row's Archive (trash) button - opens a reason + optional note dialog.
- (Active view, Managers/Admins only) Assign a lead to a colleague via the row's Assign button - opens the adviser picker dialog.
- (Archived view) Restore a lead via the row's Restore button - returns it to the active queue (only that row's button disables while it works).
- What you see: A page header ("Leads") with the Onboard button, and a single sortable/paginated table. Columns: client name (with an "Under 18" warning badge for minors), email, relationship status, estate value, a read-only star Lead score (1–5), an urgency badge (Urgent vs New), "Claimed by" (adviser name or an "Unclaimed" badge), and submitted date. Sortable on name and submitted date; default 10 rows per page.
- States: Empty view shows a "no leads" message. Rows show loading/error states via the table. In Archived view the only row action is Restore (Assign/Archive hidden); a restoring row's button is disabled. Assign action is entirely hidden from non-elevated advisers.
- Related pages / flow: Arrived at from the main navigation. "View"/row click → Lead detail (
/leads/[id]). "Onboard new user" → Onboard lead (/leads/onboard). Converting a lead ultimately leads to the quote/order builder at/ff2(from the detail page).
Lead detail - /leads/[id]
- Intent: The full picture of one prospect: their triage answers, a system-generated product recommendation with an indicative fee, adviser talking points, and the ownership controls. This is where an adviser qualifies the lead and kicks off a quote/order.
- Who can access it: Any advisor can open and act on a lead (claim it, archive/restore it, open the quote builder). The Assign / Reassign control is only shown to Managers/Admins at the active company (the endpoint also rejects non-managers).
- What you can do:
- Go back to the leads list.
- Archive the lead (header button, hidden if already archived) - opens the reason + optional note dialog.
- Restore the lead - appears in the "archived" banner when the lead is archived; disabled while restoring.
- Claim the lead - any adviser can self-claim an unclaimed lead to add it to their queue (highlighted card; concurrency-safe, so losing the race shows an "already claimed" message).
- Assign / Reassign to an adviser (Managers/Admins only) - opens the adviser picker; "Assign to adviser" when unclaimed, "Reassign" when already owned.
- Open the quote builder - primary action; takes you to the FF2 quote/order builder for this client, carrying the client and triage references.
- What you see:
- Header with an Urgent/New status badge, relative arrival time, a star Lead score, the client's full name and email, and a one-line summary (relationship · children · estate value · urgency).
- An archived banner (with reason) when applicable.
- An Assignment card showing the current owner or an "unclaimed" hint, plus the claim/assign buttons.
- A highlighted system recommendation card: recommended will product + trust suite in the title, bulleted lines (will, trusts, LPAs), and an indicative fee in GBP (or "bespoke" when none can be estimated).
- A Talking points card - numbered narrative prompts derived from the answers, with urgent points accented.
- A Triage answers card - the 11 numbered answers (relationship, children, estate value, property, business, existing will, LPA, planning intent, urgency, edge cases, specialist assets), with notable answers flagged/highlighted.
- A "ready to open" primary-action card with the Open quote builder button.
- States: Loading shows skeleton bars. Load failure shows a destructive alert with a "Try again" retry. Claim/restore/assign buttons show pending labels ("Claiming…", "Restoring…", "Assigning…") and disable while working. Archive header button is hidden once archived; the archived banner replaces it with Restore.
- Related pages / flow: Arrived at from Leads (
/leads) or immediately after onboarding (/leads/onboard). "Open quote builder" →/ff2(quote/order builder) for this client. Claim/assign/archive changes refresh the leads list and queue stats so the queue stays current when you navigate back.
Onboard lead - /leads/onboard
- Intent: Lets an adviser create a brand-new prospect from scratch, typically while on a phone call, by capturing the person's details and walking through the same 11-question triage on their behalf. Finishing creates the client and the lead in one step.
- Who can access it: Any advisor, but they must have an active company selected. If no active company can be resolved, the flow is blocked with a "No active company - switch to a company you belong to" alert instead of the form.
- What you can do:
- Go back to the leads list.
- Step 0 - capture the user's details: enter first name, last name, email, phone, home address, date of birth, and gender. (In adviser mode the contact/OTP preferences, Terms & Conditions agreement, and marketing opt-in are deliberately omitted - the user handles those later; browser autofill is suppressed so the adviser's own identity isn't captured.) Continue when valid.
- Steps 1–11 - the triage questionnaire: answer each question - relationship status, children, estate value, property ownership, business interest, existing will, existing LPAs (single-select); then planning intent, urgency, edge-case circumstances, and specialist/agricultural assets (multi-select, "select all that apply", with a "none" option that clears the others). Move forward with Continue and backward with Back; a progress dot indicator and an "N of 11" counter track position.
- Finish - the final multi-select's button reads "See my recommendation"; submitting it creates the User + company link + Triage together and drops the lead into the leads list.
- What you see: A back link, and a single card titled "Onboard new user" explaining the flow, containing the multi-step form (details step, then one question per step with a progress indicator and question/context text).
- States: Blocked state when there's no active company (destructive alert, no form). While submitting: "Creating the user…". On failure: a destructive "Couldn't create the user" alert to retry. On success: "Onboarding complete - opening the lead…" and an automatic redirect. No welcome email is sent to the user at this stage.
- Related pages / flow: Reached from Leads (
/leads) via "Onboard new user". On success it redirects to the new Lead detail (/leads/[id]), or falls back to Leads (/leads) if the new id isn't available; the leads list and queue stats are refreshed first so the new lead appears immediately.
