Draft, review & send documents

Complete the drafting form, send the order summary for sign-off, review returned documents, record signatures and finalise to storage.

This is where you complete the drafting form for each document, send the summary to the client for sign-off, and - once approved and paid - the finished documents come back for signatures.

Important: you never click a "Generate" button and documents are not produced in your browser. You fill in a drafting form (with a live watermarked preview), then send the order summary. The real PDF/DOCX files are rendered server-side automatically after the client signs off and the order is dispatched.

Where: the Documents tab on the order page (/orders/{id}).

Step 1 - Complete the drafting form

The Documents tab shows one "target" per draftable document (each will, each LPA).

  1. If there's more than one, use the target switcher chips - each shows a green check (complete) or amber triangle (incomplete), with a counter like "2 of 3 documents complete".
  2. Work through the form's sections (left sidebar). Each section dot shows its state: green check = complete, amber clock = in progress, red triangle = invalid, empty circle = untouched.
  3. Move with "Back" / "Next"; on the final section the button becomes "Save". Your work autosaves ("Saving…" / "Saved").
  4. For a bigger workspace, click "Full screen preview" (opens the drafting workspace with the form on the left and live preview on the right).

About the live preview

The first time, you must accept a dialog: "Preview only - not a legal document" → click "I understand". The preview is watermarked and can't be copied or downloaded - it only becomes a legal document once payment is taken through the platform. Use the Preview / Source toggle to switch views.

Empty states: "Add products to this order before drafting documents." or "...only wills (single or mirror, with or without trusts) and LPAs render a form."

Step 2 - Send the order summary for sign-off

Once every target is complete, the header button "Send order summary" becomes active.

  1. Click "Send order summary". (There's no confirmation - it sends immediately.)
  2. You'll see "Order summary sent for sign-off", the order locks (status → Awaiting sign-off), and the button becomes a "Summary sent" badge with a "Preview summary" link.

If the button is disabled, hover it: it will tell you which document still needs completing, e.g. "Generate this document first: {label}". Finish that target first.

Step 3 - What happens after sending

The callout under the header narrates each stage:

  1. Awaiting sign-off"Summary sent - awaiting client sign-off." Use "Preview summary" to see what they see.
  2. Changes requested → the client's note is shown. Edit the drafting form (the order unlocks), then "Send order summary" again.
  3. Awaiting ID checks and sign-off → the client approved; it's dispatched to the drafting engine automatically.
  4. In drafting"Sent to the drafting engine."
  5. Needs signatures"Documents returned - ready for signatures." Open the Documents tab to review them.
  6. Completed"Order complete."

If dispatch fails

You'll see a red "Couldn't send to the drafting engine" callout with the reason. Click "Retry sending" - success shows "Order re-sent to the drafting engine."

Step 4 - Review the returned documents

After submission the page switches to the drafting view. Open the Documents tab to see each finished document grouped under its product, with a version badge (v1, v2…), a kind badge ("Will", "Letter of wishes", "LPA"), and an approval badge ("Approved" / "Not approved" - approval is set by the drafting engine, not by you).

Per document:

  • "View" - opens it. DOCX opens in the in-app viewer (a new tab); PDFs open in the browser's own viewer. The viewer has "Back" and "Download" buttons.
  • "Download final" (or "Download preview" if no approved final yet).
  • "Record signature" - see below.

Step 5 - Record wet signatures

  1. Click "Record signature" on a document row. The "Record signature" dialog opens (every field is optional).
  2. Capture the Signer name, Signer role (Testator / Witness / Advisor / Other), Signed at date, Location, any Witnesses (use "Add witness"), an optional Signature image (≤20 MB), and Notes.
  3. Click "Save signature""Signature recorded". Recorded signatures list inline with "View image" / "Delete".

Step 6 - Finalise & move to storage

When the order is ready to close out, the header button becomes "Mark as finished".

  1. Click "Mark as finished" (if disabled, the tooltip explains what's outstanding).
  2. In "Mark order as finished & move to storage", record where the physical originals are kept: Storage provider, Reference number, Storage address, optional Receipt (≤20 MB), Notes (all optional).
  3. Click "Mark as finished""Order finalised and moved to storage". Status becomes Completed and the header shows a green "Finalised" badge.

Next: make sure you've taken payment → Guide 9: Pricing, invoicing & taking payment.
