Adjust an order's price, send Stripe payment links, raise custom invoices, and view your firm's billing.

How money moves on an order: adjusting the price, sending the client a payment link, raising a custom invoice, and where to see your firm's billing.

You don't manually mark anything paid. Payment is taken by sending the client a Stripe checkout link (email + SMS); the invoice flips to "Paid" automatically when they pay.


Adjust the price of an order

On the order page (/orders/{id}), use the right-sidebar "Products" card.

  1. Click "Manage" (pencil icon - only shown while the order is still editable).
  2. In "Manage products":
    • Add/remove products in the "On this order" list.
    • In the "Prices" section, pick which price the client pays per line (default is "Base price · £X"; labelled options are adviser-only).
  3. Click "Save changes""Products updated." (Your client is emailed to review their updated plan.)

To see the full itemised breakdown, click "Price breakdown" on the same card. The "Price breakdown" dialog shows list prices, discounts ("{n}% off"), and totals - including estimated VAT where enabled. List prices and discounts are adviser-only and never shown to the client.


Take payment (the Payment tab)

Open the Payment tab on the order (it shows an amber dot when a balance is outstanding).

At the top, a status alert tells you where things stand (e.g. "No invoice raised yet", "Invoice raised - awaiting payment", "Deposit paid - balance outstanding", "Paid in full"). Three stat cards show "Left to pay", "Order total", and "Paid so far" (click any to open the price breakdown).

  1. Click the payment button. Its label depends on the state:
    • "Send payment link" - nothing raised yet.
    • "Resend payment link" - an invoice already exists.
    • "Send balance link" - a deposit was paid and a balance is owed.
  2. You'll see "Payment link sent to your client by email and SMS." They pay via Stripe; the invoice updates itself.

This button appears when there's an outstanding amount and the order is at a payment stage (approved / awaiting payment). It needs Stripe Connect set up on the company (see Guide 2).

Raise a custom / partial invoice

  1. Click "Send invoice".
  2. In "Send a custom invoice", enter an "Amount (GBP)" between £1.00 and the remaining balance.
  3. Click "Send invoice""Invoice sent." The client is emailed a secure payment link.

If an invoice is already open you'll be warned "An invoice is already awaiting payment. Sending a new one replaces it."

View an invoice

Click "View invoice" to open its detail page. The "Active invoice" card shows the payment status pill: "Awaiting payment", "Paid", "Payment failed", "Cancelled", "Refunded", "Partially refunded", or "Deferred".

There's a "How payments work" accordion at the bottom explaining invoicing, deposits and deferred payment.


Firm billing (🔒 Managers & Admins)

Where: Billing in the sidebar (/billing). Managers and Admins only.

  • Billing overview - gross/net volume, tax collected, outstanding balance, and revenue trends over the last 90 days, plus Top products / advisers / clients and recent invoices.
  • "All invoices"/billing/invoices - every invoice, filterable by Status, searchable by description/email/client. Click a row for the full breakdown.
  • "Settings"/billing/settings (🔒 Admin only) - set the defaults applied to new checkouts:
    1. Toggle "Enable Stripe Tax on new checkouts".
    2. Choose the "Default deposit mode": "Charge in full upfront", "Take a deposit, balance later", or "Defer the full charge to the end".
    3. If taking a deposit, set "Deposit %", "Minimum deposit (£)", and "Maximum deposit (£)".
    4. Click "Save payment settings""Billing settings updated."
