Create an order & build the quote

Turn a client, lead or new record into an estate-planning order and build and price the quote.

An order is the workspace where a client's wills, trusts and LPAs come together, get priced, get drafted and get paid for. This guide covers starting an order and building the quote.

How it really works: the "Create order" button is just a client picker. The order isn't saved to the database until you reach the Pricing step of the builder wizard. "Create an order" and "set up the fact-find" are the same continuous 4-step flow - this guide covers the first half (Products → Pricing); Guide 7 covers the fact-find half.


Start an order

You can start from three places:

  • Orders list (/orders, heading "Estate Planning Orders") → click "Create order", then in the "Create order" dialog search for the client and click their row. (No match? Click "Create new user" to add them first.)
  • A client's detail page"Start estate planning order".
  • A lead"Open quote builder".

All three open the same builder wizard at /users/{id}/orders/new.

If the client isn't assigned to a company yet you'll see "This user isn't assigned to a company yet - assign them before starting an order." - assign them first (see Guide 5).


The builder wizard

A sticky bar at the top shows the four steps: Products → Fact-find setup → Pricing → Review & send. Use "Back" (top-left) and "Exit" (top-right) to navigate.

Step 1 - Products (build the quote)

Heading: "Quote".

  1. Add the products the client needs. Wills come first; trusts and additions attach to a specific will. LPAs attach to a person.
    • When adding a product in the dialog, confirm with "Add product".
    • For a couple, set the partner's name in "Partner's name (optional)".
  2. Click "Continue to templates".

Step 2 - Fact-find setup

This chooses which fact-find sections the client will complete. It's covered in detail in Guide 7. You have three ways forward:

  • "Use selected templates (n)" - tick the recommended template cards and continue.
  • "Build from scratch" - start an empty fact-find you'll edit yourself.
  • "Skip for now" - create the order without a fact-find (you can compile one later from the order page).

Step 3 - Pricing (this is where the order is created)

Heading: "Ready to send".

  1. Review the "Recipient" (the client) and "What's in the order".
  2. If your firm allows price adjustments, you can edit each line:
    • Use a "Quick discount" chip ("None", "5%", "10%", "15%", "20%", "25%"), or
    • Type a price (£) or a discount (%) directly. A row over your role's cap shows "Exceeds the {n}% maximum discount."
    • "Use catalogue prices" resets to list prices.
  3. Check the totals summary.
  4. Click "Send fact-find link". This creates the order (you'll see "Creating order…") and moves to Review & send.

Step 4 - Review & send

Finish and send the fact-find to the client → continue in Guide 7.


The order hub (after it's created)

Every order opens at /orders/{id}. The header shows the client's name, the status badge, and the product count. The work area has tabs:

  • Documents - the drafting form (→ Guide 8).
  • Stakeholders - invite executors, trustees, attorneys and guardians to confirm their own details.
  • Client data - the client's details, register (people/properties/businesses/etc.), and Professional trustees.
  • Payment - invoicing and payment links (→ Guide 9).
  • Notes - order notes.

The right sidebar has quick cards: Client, Fact-find, Products (with a "Manage" button to add/remove products and adjust prices), Assignment, and Metadata.

Manage products later

On the sidebar "Products" card click "Manage" → the "Manage products" dialog. Add/remove products, pick price options, then "Save changes" (your client is emailed to review their updated plan). This is only available while the order is still editable (Draft / Changes requested).

Assign professional trustees

On the Client data tab, the "Professional trustees" card lets you assign a firm trustee: pick one from "Select a professional trustee…", choose "Trustee" or "Backup trustee", and click "Assign". (Manage the firm-wide list under Company config → Professional trustees.)

Cancel an order

While Draft or Changes requested, a "Cancel order" button appears. It opens "Cancel this order?", requires a reason, and permanently bricks the order - use with care.
